Purpose of the role
We are seeking a highly organised Personal Assistant to provide essential daily support to our Chief Commercial Officer. This role will involve a broad range of responsibilities, including governance meeting management, scheduling, logistical coordination, and stakeholder communication. The ideal candidate will be a detail-oriented and efficient team player who thrives in a fast-paced and dynamic global environment.
Key Responsibilities:
- Diary & Meeting Management: Provide clear and concise diary management, ensuring seamless organisation and preparation for meetings, calls, and events across multiple time zones.
- Travel Coordination: Arrange and coordinate international travel, including flights, visas, accommodations, ground transportation, on-location agendas, and entertainment arrangements.
- Presentation & Report Preparation: Prepare clear and impactful presentations and reports, and ensure that team members meet deadlines for report submissions.
- Governance Meeting Support: Arrange, attend, and document key governance meetings for transformation programmes, ensuring a thorough record of actions, follow-ups, and auditable governance.
- Team Liaison: Serve as a liaison between the Transformation Team and regional finance leaders, fostering strong relationships and facilitating effective communication.
- Director Support: Actively manage the director's emails, delegate tasks when necessary, and keep them informed of any critical issues during their absence.
- Logistical Management: Organise and manage logistics for departmental conferences and face-to-face meetings as needed.
- Administrative Support: Administer annual leave records, manage pre-travel requests, process monthly credit card and out-of-pocket expenses, raise purchase orders, and approve invoices within Coupa. Additionally, coordinate taxis, meals, and stationery orders as required.
- Contractor & Supplier Management: Oversee contractor renewals, updates with the Commercial Manager, and communication with key external stakeholders, suppliers, and contractors.
Ad-hoc Duties:
- Provide support to the management team as needed.
- Cover for other PAs during their absence.
- Assist with projects and other tasks on an as-needed basis.
Skills and Experience Required:
- Emotional Intelligence: Calm, efficient, and approachable with the ability to manage a variety of tasks with an even temperament.
- Exceptional Organisational Skills: Expertise in governance and meeting management, with a strong focus on detail and thoroughness.

- Excellent Communication: Clear and effective verbal and written communication skills.
- MS Office/Teams Proficiency: Strong command of Microsoft Office and Teams products.
- Confidentiality: Demonstrates discretion, tact, and diplomacy in handling sensitive information.
- Adaptability: Capable of managing competing demands and working well under pressure in a high-demand role.
- Language Proficiency: Strong command of English, both spoken and written.
