Dealer Sales Operations Head – Assistant Manager
This role covers two critical operational pillars—Dealer Sales Operations and Vehicle Logistics & Delivery—into a single leadership function. The DSO Head – AM ensures that all processes, from vehicle pull out and preparation to client delivery and documentation, run efficiently and in alignment with Jaguar Land Rover’s global standards. The role will also oversee a small operations team and collaborate cross-functionally to ensure inventory accuracy, timely unit release, and a seamless sales experience.
Key Responsibilities:
1. Dealer Sales Operations & Compliance
- Oversee vehicle ordering, allocation, reservation validation, and retail reporting in close coordination with Sales Consultants and Sales Managers.
- Act as gatekeeper for all sales documentation (VSOs, IDs, CRs, job cards, OR/CR, etc.), ensuring accuracy, timeliness, and completeness for audit readiness.
- Monitor and update unit status in systems (Pinnacle, Smartsheet, etc.) for accuracy and retail tracking.
- Manage unit sales reporting, PDI/service booking coordination, and ensure process adherence across teams.
- Enforce company policies on unit reservations, aging inventory, and reservation escalations.
2. Vehicle Preparation & Delivery Management
- Lead end-to-end coordination of vehicle release preparation including:
- PDI scheduling
- Paint/wrap/tint/detail bookings and quality control
- Accessory installation and verification
- Ensure all vehicles are showroom- and client-ready with premium standards upheld across all touchpoints.
- Handle transport logistics and tow truck arrangements for showroom-to-showroom or direct client delivery.
3. Inventory & Unit Management
- Monitor daily vehicle inventory across brand-new, demo/test drive, and pre-owned units.
- Manage demo/test drive vehicle upkeep: cleanliness, fuel, charge level (PHEVs/EVs), and availability.
- Support showroom display unit upkeep (charging, cleaning, condition).
- Perform regular stockyard checks to validate unit conditions and inventory integrity.
4. Parking & Space Optimization
- Implement and manage an efficient parking plan for both on-site and off-site locations:
- Maintain designated showroom customer parking slots.
- Optimize space for arriving stock and PDI flow (BGC, GH, off-site facilities).
- Coordinate with other departments for 5F Workshop vehicle movement and compliance.
5. Sales Incentives & Commission Management
- Lead monthly and quarterly computation and validation of:
- Dealer income
- Insurance/accessory commissions
- Sales team incentives
- Unit commissions
- Coordinate with Finance and C&C teams for release validation and documentation.
6. LTO Registration Oversight
- Supervise outsourced registration provider and manage internal coordination.
- Validate LTO documents (CSR, OR/CR, plate types, stencils) and track delivery to client or financing institution.
- Monitor timelines and escalate delays to ensure customer satisfaction.
7. Administrative & Reporting Functions
- Maintain accurate sales operations reporting and analytics dashboards.
- Process documentation for reimbursements, liquidations, and inter-department payments.
- Lead cancellation and refund application coordination with full policy compliance.
8. Team Leadership & Cross-functional Coordination
- Manage DSO Specialists and showroom support personnel.
- Provide performance coaching, day-to-day guidance, and regular alignment meetings.
- Collaborate closely with Sales, Aftersales, Marketing, Compliance, Finance, CRM, and LTO.
