POSITION OBJECTIVE:

The Vehicle Logistics & Delivery Supervisor (VLDS) is responsible for managing the pre-delivery and preparation processes of each new car upon arriving to the dealership, ensuring vehicle compliance, quality, and readiness for showroom display, test drives, and customer delivery. This role includes overseeing the seamless movement of vehicles through required stages, ensuring adherence to quality standards, and coordinating with relevant teams to meet customer expectations and dealership targets and needs.

 

DUTIES AND RESPONSIBILITIES:

New Car Preparation & Compliance

  • Upon arrival of units in the dealership, ensure timely availability of vehicles for Pre-Delivery Inspection (PDI) booking schedule and preparation.
  • Coordinate with the DSO team, Sales team, and workshop for vehicle preparation details, including customer information, release dates, and required accessories.
  • Oversee vehicle movement through the preparation process:
    • PDI (Aftersales Workshop): Confirm all accessories and packs are complete.
    • Painting (special exterior package instructions): Coordination with DSO and management of bookings for paint requests to Body & Paint Workshop or outsource paint workshop. Ensure instructions for paint requirements are followed precisely, meeting the standards of the brands, and eliminating back jobs.
    • Wrapping: Coordination with DSO and management of bookings for optional special film wrap requests to outsource wrap workshop. Ensure instructions for wrap requirements are followed precisely, meeting the standards of the brands, and eliminating back jobs.
    • Tinting: Coordinate bookings with DSO, confirm correct tint installation, and check for any imperfections (smudges, bubbles, scratches, or cuts).
    • Detailing: Ensure vehicle exterior and interior are spotless, with no smudges, scratches, or swirls, and that all protective covers are removed as specified.
    • Manage transport and tow truck arrangements for vehicle transfers between showrooms or direct deliveries.
    • Inventory Management

    • In-charge of monitoring on-site inventory and updating inventory status and locations of units for all brand new, test drive/demo units, and pre-owned units under the Sales Department.
    • Responsible for keeping tabs on the movements of each units and support the sales team in booking needed demo units to ensure availability and prevent conflict of schedule.
    • Oversees booking of drivers needed as showroom support and coordination of schedule with the Aftersales Team.
    • Showroom Units
      • Support the sales team in the maintenance of the display units by coordinating regular touch ups of the detailers on a daily basis.
      • Ensure that all units are properly charged and connected to the power source to avoid battery from being drained.
    • Test Drive & Demo Units
      • In-charge of the daily movement of demo units to be parked in front of the showroom.
      • Responsible for ensuring that all test drive and demo units are clean and detailed inside and out, always ready for customer presentation.
      • Fuel management of test drive and demo units, always maintaining (1/2 )half tank of fuel.
      • PHEVs and EV vehicles must always be charged and maintain at a minimum of 80% battery charge.
    • Stock Units
      • Regular checking of stock units in the stockyard to ensure units are in good condition.
    • On-site & Off-site Parking Management

    • Organize and manage on-site and off-site parking for both branches.
    • Greenhills branch – middle 3 parking slots should always be left vacant for customer parking.
    • BGC branch - front area should always have at least 2 free parking slots for customers.
    • 5th Floor Workshop must be cleared of all Sales Cars unless the units are scheduled for PDI and preparation.
    • Manage the off-site parking slot (Soliven and BGC Roof Deck) to ensure availability for arriving units. Set a maximum number of units available on-site to be stored in the offsite parking to ensure optimal efficiency.

Logistics support to the Marketing Department

  • Supports the Marketing Department in their logistics needs for offsite displays and events: Ingress/Egress schedule, detailer and driver support; booking of tow truck for the transfer of units and other marketing collaterals.

 

 


JOB SPECIFICATION

 

Educational Requirement

Bachelor’s Degree in Business Administration or any related business course;

 

Job Related Experience

At least 2-3 years relevant experience

Automotive experience is preferred
