SUMMARY

This position will be responsible for maintaining accurate records of vendors, invoices and payments. This position will also to support the AP Lead in managing end-to-end accounts payable operations within a shared services framework. The AP Accountant will play a key role in ensuring the accurate and timely processing of invoices and payments within the company’s standard net 45 payment terms, assisting with vendor statement of account (SOA) reconciliations, intercompany reconciliations, and performing the role of control owner for AP-related processes.

 

This role requires a strong understanding of AP processes, attention to detail, and the ability to collaborate effectively across departments and entities.

 

Key Responsibilities:

Invoice & Payment Processing

  • Ensure timely and accurate entry of vendor invoices in the ERP system, in compliance with company policies and payment terms.
  • Assist in preparing and reviewing payment runs to ensure vendors are paid within the agreed net 45 terms.
  • Monitor invoice queues and coordinate with business units to resolve discrepancies or missing documentation.

Reconciliation & Reporting

  • Assist in the reconciliation of vendor statements of account (SOAs) to ensure accuracy and follow up on any outstanding or disputed items.
  • Support intercompany payable/receivable reconciliations, working with internal teams to clear balances in a timely manner.
  • Perform periodic reviews of aging reports and escalate any risks of delayed payments or unrecorded liabilities.

 

Internal Controls & Compliance

  • Act as a control owner for AP processes, ensuring compliance with internal controls, financial policies, and audit requirements.
  • Maintain documentation of control procedures and provide evidence for internal and external audits as needed.
  • Support the AP Lead in identifying and resolving control gaps or process inefficiencies.

Collaboration with Shared Services

  • Work closely with the AP Lead to support team objectives, meet deadlines, and maintain service delivery standards.
  • Collaborate with Procurement, Treasury, and other departments to resolve invoice or payment-related queries.
  • Participate in system improvements and testing of ERP/AP tools or automation projects as assigned.

 

 

QUALIFICATIONS

  • Education
    • Bachelors Degree in Accounting or Finance
  • Experience
    • 1-3 years in accounts payable and general accounting experience
