SUMMARY

The Bodyshop Admin Clerk plays a crucial role in supporting the efficient operation of the Bodyshop by handling cashier duties, administrative tasks, and ensuring smooth communication between customers, technicians, and management.

 

ESSENTIAL DUTIES

  • Be friendly, professional, courteous, and efficient when working with all customers and employees
  • Meet and greet customers in a professional manner, both in person and over the phone
  • Communicate with callers in a professional, friendly, and efficient manner, striving to minimize the amount of time spent on hold
  • Take thorough messages, indicating the callers first and last name, company name if applicable, the time and the message the caller wishes to leave
  • Provide basic information to callers who have general inquires and schedule appointments as needed
  • Ensure that all documents are accounted for during the process of repairing a vehicle and file the completed file
  • Prepare all vendor invoices and assign purchase order numbers as necessary
  • Obtain customer and vehicle data as needed for service advisors, estimators
  • Maintain Customer Satisfaction Index rating comparable to that of the manufacturer or dealership average
  • Establish each customer's method of payment and post all funds received from the repair of a vehicle to the appropriate repair order
  • Obtain customer's signature on repair order; provide customer with a copy
  • Call customer when vehicle is ready and schedule the appointment for the vehicle to be picked up
  • Prepare the funds for deposit by making copies of the invoices paid as well as the checks and currency received as payment for the repair
  • Facilitates daily incoming appointment pre and post inspections for prevention and quality control
  • Assist advisors to maintain a healthy work age listing
  • Ensure completeness and compiles insurance related documents on daily closed repair orders. Documents such as signed loss of subrogation, pictures, etc.
  • Daily submits documents on closed repair orders to insurance companies to ensure timely payment processing.
  • Reconciles, researches and collects unpaid amount on accounts receivables, ensuring timely coordination with insurance companies.
  • Assist with filing duties and other administrative tasks as needed
  • Attend meetings and trainings as scheduled
  • Perform other duties as assigned

 

QUALIFICATIONS

  • Education
    • High School diploma or equivalent
  • Experience
    • 2-3 years in administrative and cashiering experience
