SUMMARY

Performs administrative duties supporting the Admin, Finance & Insurance, Accounting and Finance departments related to vehicle sales.

 

ESSENTIAL DUTIES

  • Invoice all New Car vehicles by compiling all deals files and performing a thorough verification to ensure completion as well as meeting the standard requirements for Invoicing.
  • Perform deal file clearance and follow-up on all deal files by verifying receipts for complete payments.
  • Reconciliation of completed license and registration application and ensuring all pertinent documents are complete to meet the standard requirement.
  • Prepare Check/Cash Deposits
  • Submit Repo referrals to Attorneys
  • Perform Monthly Cash Audits and Manual Receipt Reconciliation
  • Perform dealer plate audit every other month
  • Perform Monthly Stock Count and Reconciliation of New/Used Vehicles, Toyota Rent-A-Car Vehicles, Avis, Budget and Payless Vehicles.
  • Perform Promo Inventory every other month
  • Admin supply inventory at the beginning of each month and place orders as needed
  • Assist with monthly Deal File filing duties
  • Batch Bank Documents for deal funding and resolve any bounces
  • Reconcile and Remit F&I Products and Insurance Accounts
  • Process Cancellation of Products
  • Identify and implement process improvements in current duties as means to continually streamline processes leading to increase productivity
  • Provide back-up to all Admin staff during planned or unplanned outages
  • Ad-hoc duties assigned

 

 

 

 

QUALIFICATIONS

  • Education
    • High School Diploma, or its equivalent
  • Experience
    • 1-2 years’ experience in Administrative Support, Finance, and/or Accounting
  • Licensure
    • Valid Guam Driver’s License

  • The physical requirements of this position involve sedentary work, which involves sitting most of the time.

  • Administrative work is required working on a PC system for 75% of the working day. The worker is required to have close visual acuity to perform activities such as preparing and analyzing data and figures, and viewing a computer terminal
