SUMMARY

The Rental Agent is responsible for optimizing the rental experience by selling extras based on the customer's needs, drafting rental agreements, and providing exceptional customer service. As a Rental Sales Agent you are entrusted with educating our customers on their buying options and serving them with the highest level of respect, professionalism, and friendliness. You will be expected to become the expert on our fleet and ancillary products and enhance the customers' experience by providing expert recommendations. ESSENTIAL DUTIES

  • Prepares and processes rental contracts and ensures that all documents are properly completed per company policy.
  • Brief the customer(s) of their responsibilities during the duration of the rental agreement.
  • Prepare and process vehicle inspection documents.  Physically inspect the vehicle(s) with the customer if service agents are unavailable. 
  • Prepare and process closing of rental contracts upon return of vehicle. 
  • Handle currency by collecting security deposits in advance (cash, checks, credit cards, purchase orders etc.) and process and issue receipts accordingly prior to releasing vehicle.
  • Book reservation(s) and post information accordingly.
  • Calculate and secure daily sales at the end of work shift.  Ensure cash, check, credit card balance with indicated report.
  • Ensure that safety and service are current on all vehicles.  Prepare and process safety and service accordingly to company policy.
  • Follows up on overdue rental by contacting customer to obtain status of return of vehicle or extension.
  • Act as back up rental agent when another rental agent is unable to work his/her shift.
  • Operates office machines such as computer, typewriter, adding machine, calculator, and copier.
  • Prepares and processes monthly report(s).
  • Answers incoming phone calls in a prompt, polite, professional manner.
  • Handles customer complaints or refers to appropriate dealership employee as necessary for resolution.
  • Files correspondence, and other records.
  • Greets visitors, ascertains the nature of their business, and assists them or direct them to the appropriate person.
  • Makes copies of correspondence or other printed matter.
  • Maintains office equipment (i.e., copiers, printers, fax machines, etc.). Trains dealership personnel in its use and troubleshoots problems.
  • Handles special clerical projects as instructed by either the supervisor or the manager.
  • Maintains knowledge of basic Rental department information to act as a resource for incoming callers requesting such information.
  • Maintains professional appearance and neat work area.
  • Attends departmental meetings when necessary.
  • Reports to work on time every day as scheduled.

 

 

 

QUALIFICATIONS

  • Education
    • High School diploma or equivalent
  • Licensure
    • Valid Guam Driver’s License
